    Position Overview

    We are seeking Administrative Specialists to support the Office of the Secretary of Defense in providing a full range of administrative services. A successful candidate will be able to work in a high pace environment, deliver quality products and address multiple requirements. The candidate can apply their administrative skills to help solve complex issues and ensure the office workflow continues even during high demand activities. The candidate will direct activities in the office and manage schedule and training for the team. Duties include:

    Responsibilities

     

     

    • Maintain the calendars of office personnel, coordinate the daily activities, and travel schedules to resolve conflicting priorities and requirements and ensure support for attendance at high profile meetings.
    • Prepare formal, official correspondence based on drafts from senior level persons in the office. The memos and other documents shall comply with the USO (A&S) correspondence guide and other standards established for the office and shall be appropriate for senior level Government officials. The candidate shall assist in preparing required reports and presentations.
    • Answer the telephone and refer the calls to the appropriate individuals within the office. The administrative staff will serve as the interface with the public whenever there are inquiries concerning the office, including the greeting and escorting of high-level officials.
    • Depending on the position assigned the candidate shall be responsible for coordination of office administrative functions including office security administration, office space management, processing security clearance and visit requests for OUSD(A&S) personnel and visitors, scheduling office events and ordering supplies.
    • All candidates should have experience in administrative support and working knowledge of DoD security procedures. As required, the candidate should be proficient with the Defense Travel System (DTS) and responsible for processing travel requests, arranging accommodations and reimbursement of expenses in accordance with the Joint Travel Regulations (JTR).
    • As required, the candidate shall process incoming mail, including e-mail and facsimile, route correspondence to the appropriate individual(s) in the office for response and tracking actions.
    • Maintain accountability of files and correspondence in the office, both in electronic and in paper form IAW WHS Administrative Instruction (IA) 15 and A&S Administration workflow and process Standing Operating Procedure (SOP). The files should be archived appropriately and accessible whenever the need arises to find historical documents.

    Required Qualifications

     

    • Bachelor's Degree from an accredited college or university or 4 years of general experience in lieu of degree
    • 4 years of general experience, with a minimum of 2 years of experience performing research and analysis required
    • Superior oral and written skills

    Preferred Qualifications

    • Military experience
    • Experience with OUSD (Office of the Under Secretary of Defense), Acquisitions and Sustainment (A&S) 
    • Ability to conduct quantitative and qualitative data collection and analysis of large volumes of sensitive personnel data. Familiarity with Department of Defense organizations and missions
