    Position Overview

    We are seeking experienced Administrative Specialists to support the Office of the Secretary of Defense (OSD). The candidate will provide expert level administrative support for senior executives and must be highly proficient with Microsoft Office Suite applications. The candidate should have general knowledge and experience in office management. It is also essential that the candidate have the ability to provide administrative support for meetings, correspondence, and gathering background information to support senior officials' attendance at meetings.

    Responsibilities

    • Maintain the calendars, coordinate the daily activities, and travel schedules to resolve conflicting priorities and requirements and ensure support for attendance at high profile meetings.
    • Prepare official professional correspondence, reports and presentations based on drafts from senior level persons in the office.
    • Answer the telephone and refer the calls to the appropriate individuals within the office.
    • Greet and escort all visitors.
    • Depending on the position assigned, responsibilities may include office security administration, office space management, processing security clearance and visit requests for government personnel and visitors, scheduling office events, travel prep, and ordering supplies.
    • Process incoming mail, including e-mail and facsimile, and route correspondence to the appropriate individual(s) in the office for response and tracking actions.
    • Maintain accountability of files and correspondence in electronic and paper form.

    Required Qualifications

    • Bachelor’s Degree or four (4) years of general experience, with a minimum of 2 years of experience performing research and analysis (no substitute for the bachelor’s degree for “key” personnel)
    • Superior oral and written skills
    • Ability to use DoD travel, correspondence, workflow and other administrative tools
    • DoD TS/SCI clearance 

     

    Preferred Qualifications

    • Military experience
    • Experience with Office of the Under Secretary of Defense, Acquisitions and Sustainment
    • Familiarity with DoD organizations and missions
    • Proficient with the Defense Travel System (DTS) and responsible for processing travel requests, arranging accommodations and reimbursement of expenses in accordance with the Joint Travel Regulations.
    • Experience using Correspondence Action Tracking Management System (CATMS)
