Responsibilities

We are seeking Team Lead Executive administrative specialists to support the Office of the Secretary of Defense in providing a full range of administrative services. A successful candidate will be able to work in a high pace environment, deliver quality products and address multiple requirements. The candidate can apply their administrative skills to help solve complex issues and ensure the office workflow continues even during high demand activities and direct activities across a diverse team. Duties include:

 

  • Coordinate delivery of project services as the main contractor POC assigned office; direct activities of multiple staff.
  • Identify support gaps within office, co-develop plans with direct line management, assist in implementing recommendations with direct line management.
  • Address emerging requirements and assist in planning activities.
  • Assist in planning for continued office operations
  • Coordinate travel requirements to include local, CONUS and international destinations to assigned offices utilizing the DoD DTS system.
  • Support the changes to travel and assist in any required pre-travel clearance and approvals in a timely manner.
  • Deliver unclassified and classified taskers, messages, incoming mail, and pick-up any outgoing correspondence and transport it to the appropriate distribution points.
  • Sort and deliver incoming and outgoing unclassified and classified mail to include special messages (cables).
  • Support office security requirements including document management.
  • Manage resources, to include equipment required in the office.
  • Assist in developing special event requirements such as time and place, location, duration, number of attendees, security requirements, and travel arrangements.
  • Arrange for appropriate conference rooms/facilities and prepare meeting places in accordance with acceptable protocol and security procedures such as seating arrangements and security verification.

Qualifications

Requirements

  • At least 8 years DoD or equivalent administrative support at a Headquarters or Executive level office
  • Defense travel experience.
  • Correspondence experience in a DoD environment.
  • Knowledge of SCI and SCIF security procedures/coordinating classified meetings.
  • Strong Microsoft Office skills.
  • Proactive and independent workstyle.
  • Strong oral and written communication skills.
  • DoD Top Secret clearance with ability to obtain clearances at the highest level.

 

Preferred

  • Bachelor’s degree.
  • An active DoD badge.
  • At least two years of experience with the office of the Secretary of Defense, or equivalent office.
  • Experience with senior personnel in a DoD environment (e.g., political appointees, high ranking military officials; SES’s; GS-14/15s).
  • Experience with the TMT or CATMS Correspondence Management systems.
  • Exceptional Microsoft Outlook skills.
  • Former military.
  • Experience managing/overseeing office staff.
